Organization Settings for Employee Management

 

Settings available to: Owner role

 

This article provides the settings available for employee management and the description for each setting.

The following categories are available for employee management. Click a category to view its settings and their descriptions.

Password Management

Navigate to Admin (organization level) > Organization > Organizations > Settings > expand the General section.
Go to the following setting:

Field Name Description
Enforce password update every 3 months Select to enforce all employees to update their login password once in every 3 months.

Employee Code Setup

 

Navigate to Admin (organization level) > Organization > Organizations > Settings > expand the Employee section.
Go to the following setting:

Field Name Description
Auto Generate Employee Code While adding new employees, you can either allow Zenoti to automatically generate employee codes for you or you can enter them manually while creating the profile.

Select one of the following options.
Important: Once you select an option, you cannot update it later. Contact Support if you need to change the selection later.

  • Yes: Select to automatically generate the employee code.
    When you select Yes, the following field appears:
    Employee Code Start Number: Enter a number that the employee code should begin with.
    The page also displays the latest employee code generated (Latest Employee Number).
  • No: Select to manually add the employee code.

Specify Permitted Off Periods

Note: Selections made here directly impact the options available to “update employee status” in the Employee Schedule page at the center level > Employee > Employees > Schedule. The leave, special leave, and weekly off options appear on the Employee Schedule page only for the days selected at the organization level.

Navigate to Admin (organization level) > Organization > Organizations > Settings > expand the Employee section.
Go to the following settings:

Field Name Description
Special Leave is allowed on Select the days on which employees can avail special leaves.

Note: The special leave option appears on the Employee Schedule page only for the days selected here.
Example:
If you select Special Leave is allowed on: Mon, Tue, and Wed, then you cannot update the employee status to take special leave on a Friday on the Employee Schedule page (center level > Employee > Employees > Schedule).

Specify weekend days Select the days on which employees can avail weekend offs
Number of Weekly offs allowed in a week Enter the number of weekly offs allowed in a week per employee.
Example:You may provide 2 offs for your employee in a week. Enter 2 in the Number of Weekly offs allowed in a week field.
Weekly off is allowed on Select the days on which employees can avail weekly offs.
For days not selected here, an employee cannot be marked as “weekly off” from the Employee Schedule page.

Employee check-in

To view employee check-in settings, navigate to Admin (organization level) > Organization > Organizations > Settings > expand the Employee section.
Go to the following settings:

Field name Description
Waive authorization for employee check-in Note: This setting is not applicable if your organization uses a biometric device to check in employees.
By default, this checkbox is clear. Which means the front desk must enter their username and password to check in the employee manually from the Appointment Book.Select if you want to speed up the check-in process by skipping the authorization. The front desk will then be able to check in employees with a single click.
Enable biometric device usage Select if you use a biometric device to capture employee check-in and check out details.
Note: The setting Use Biometric for Employee Check In must also be enabled at the center level. Navigate as follows:
Admin > Center > select the name of the center > click the Settings tab > expand Employee > select Use Biometric for Employee CheckIn.
Select one of the following options:

Allow multiple check-ins Select to allow your employees to check in multiple times in a day

Example:

If you have employees working in two shifts, selecting the Allow multiple check-ins checkbox allows them to check in multiple times. The check-in and checkout details are captured accordingly.
