Block Out Time Details Report

The Block Out Time Details report helps you track all the block out times used by the employees in the selected time period and provides necessary details such as date, type, and duration of the break.

Important Notes

This report:

  • Includes employees who were working at the selected center and are deputed there.
  • Does not include all employees with the selected center as their primary center, unless they were working there in the selected time period.

    Follow these steps to run the report:

    1. Make sure you are at the center level for which you want to run the report.
    2. On the Main menu, click the Reports tab.
    3. On the Reports Dashboard, click Employee > Time (from the filter).
    4. From the reports list, select Block Out Time Details.
      The report opens in a new tab.
    5. Make your selections in the filter criteria and click Refresh.
    6. To export the report, click the Excel or .CSV icons.
      Best PracticeAlways export the report to view all the columns of the report- the UI may show fewer columns.

     Filter Criteria

    Criteria Options Description
    Employees  a) All Employees
    b) Names of individual employees
    Run the report for all employees or search for and select specific employees. You can search for employees by first name, last name, or nickname.
    Block Out Time Types  a) All Block Out Time Types
    b) Names of individual Block Out Time Types
    By default, the report runs for all block out times.
    To run the report for a specific Block Out Time Type, select the name of the Block Out Time type from the list (such as Lunchtime, Personal Time Off).
    Status a) Active
    b) Deleted
    Select Active or Deleted to filter the report based on Block Out Time types that are active or deleted.
    Utilization Type a) All Utilization Types
    b) Considered for Utilization
    c) Not Considered for Utilization
    A Block Out Time type may or may not be considered for utilization depending on whether the checkbox ‘Include this time in employee utilization‘ is selected at the Block Out Time Type level.

    Note that if a Block Out Time Type (such as ‘In Training’) is included in employee utilization (it will fall under the filter, Considered for Utilization). This time is included as part of Service Hours while calculating employee utilization %.

    Select Time Period  a) 1 month
    b) 2 months
    c) 3 months
    d) 6 months
    e) Custom
    Based on your requirement, from the drop-down list, select any of the options. You can also select Custom from the list and specify custom dates.
    Note: For custom dates, you can view data for a maximum date range of 6 months at a time. Example: If you wish to see data from January to August, first view data from January to June and then view data from July to August.

    Column Descriptions

    Column Description
    Code The employee’s code.
    Employee The name of the employee.
    Date The date on which the block out time was used for the employee.
    Base Center  Shows the name of the center to which the employee belongs – this is the home center of the employee.
    You can see different Center names for the same employee here if:
    a) An employee was on loan to your center in the specified time period.
    b) You used either the Other Centers filter or the All Centers filter.
    Work Center Shows the name of the center where the employee worked – this center may be different from the Base Center for days when the employee was on loan to another center in the selected time period.
    Block Out Time Type The name of the block out time used for the employee such as Lunch or Meeting.
    By default, Zenoti has the following types of block out times: Break, Leaving early, Lunch, Meeting, Personal time, and Running late.
    Note: Authorized users can create new types of block out times at an organization level from Employee > Settings > Block Out Time Types.
    Start Time The time at which the block out time started.
    Example:  The Block Out Time Type, Lunch, may have a Start Time of 12.30 PM.
    End Time The time at which the block out time ended.
    Example:  The Block Out Time Type, Lunch, may have an End Time of 1.30 PM.
    Block Out Time (in Hours) The number of hours the block out time lasted. Note that each type of block out time has a default duration. For instance, the default block out time for Lunch is 60 minutes. However, the duration of a particular block out time can be extended or reduced from the Appointment Book.
    For example, the lunchtime of an employee can be increased to a duration of more than 60 minutes or decreased to less than 60 minutes. The Block Out Time Details report shows the actual block out time used by the employee from the appointment book, and not the standard time defined for the Block Out Time Type.
    Utilizable Shows Yes or No to indicate if a block out time is considered for utilization or not.
    Note: The block out time is considered for utilization if the checkbox Include this time in employee utilization is selected while creating the block out time.
    Notes Any notes that were entered while creating the block out time in the Appointment Book
    Last Modified by The name of the employee who last modified a block out time.
    Last Modified on The date and time when a block out time was last modified.
